Every Friday someone asks for "a quick status update", and every Friday it takes an hour. You dig through chat, tickets, and commits to remember what happened on Monday. A simple weekly status report template fixes the format, and a daily habit of logging and capturing fixes the content.

Below is a copy-ready template, two filled examples, and a workflow that uses Algenius, a plug-and-play daily activity logging and screenshot app for Windows and Linux, to gather the facts for you during the week.

Why weekly status reports go wrong

  • Written from memory: Friday you remembers Thursday, not Monday.
  • Too long: Stakeholders skim, so key risks get buried in paragraph six.
  • No evidence: "Improved the dashboard" means little without a screenshot.
  • Inconsistent format: Every team member reports differently, so nobody can compare.

The weekly status report template

Copy this into email, Slack, Notion, Confluence, or a spreadsheet:

Summary: One sentence on where the project stands. Example: "On track for the November 4 release."

Wins this week: Two to four outcomes, each with a link or screenshot.

Next week: The two to three things you will move forward.

Risks and blockers: What could slip, why, and who can help.

Metrics (optional): One to three numbers that matter, like tickets closed or hours by project.

Asks: Decisions or feedback you need from the reader.

Keep the whole report readable in under two minutes. Send it at the same time every week so readers expect it.

Filled examples

Product team

  • Summary: Checkout redesign is on track for the November 4 release.
  • Wins: New payment form shipped to staging, before/after attached. Page load down on mobile.
  • Next week: Accessibility pass, final copy review.
  • Risks: Payment provider sandbox is unstable. Owner: backend lead.
  • Asks: Approve the final button copy by Wednesday.

Freelancer to client

  • Summary: Website build is 70% complete.
  • Wins: Home and pricing pages built, screenshots linked.
  • Next week: Blog templates and contact form.
  • Risks: Waiting on final product photos.
  • Asks: Send photos by Tuesday to keep the launch date.

How Algenius fills the template during the week

1. Log each day automatically (Pro)

The Daily Activity Logger records your sessions and drafts an AI summary each day. On Friday you combine five short, edited summaries instead of starting from zero. See daily activity reports for remote teams.

2. Capture wins when they happen

Press Alt+Q when something ships or a test passes. Annotate it in the advanced premium editor, fully free, and blur anything private.

3. Show changes with Compare (Pro)

Put before and after side by side for design and UI work. See before-and-after screenshots for design and QA.

4. Pull metrics from Focus and Productivity Insights

Pro shows how your time split across the week, which makes the optional metrics line honest.

5. Polish with Alt+S

Select your draft and press Alt+S to fix grammar or rewrite it in a Professional tone before sending.

6. Keep a history in a sheet

Paste each week's report and screenshots into Excel or Google Sheets. See paste screenshots into Excel and Google Sheets.

Use cases by role

Project managers: Roll up team updates into one consistent report.

Engineers: Show the work behind closed tickets with screenshots and summaries.

Agencies: Send clients a weekly report that looks the same every time.

Remote teams: Replace a status meeting with a two minute read.

Common mistakes

  • Listing every task: Report outcomes, not activity.
  • Hiding risks at the end: Give blockers their own line with an owner.
  • No visuals: One screenshot often replaces a paragraph.
  • Skipping the ask: Tell readers exactly what you need from them.

Frequently asked questions

What should a weekly status report include?

A one line summary, wins, next steps, risks and blockers, optional metrics, and any asks for the reader.

How long should a weekly status report be?

Short enough to read in under two minutes, usually 10 to 20 lines.

How is it different from a daily standup?

A standup covers one day for your team. A weekly report rolls up outcomes and risks for managers, clients, or stakeholders.

Can I automate my weekly status report?

Partly. Algenius Pro drafts a daily AI summary of your work, so the weekly report becomes a quick edit of five summaries.

Is this template free to use?

Yes. Copy it into any tool. Screenshots and the advanced premium editor in Algenius are free too.
